A booking Agent has two separate notification controls. Meeting reminders contact the lead. Host notifications email the member who will host the meeting. Configure both under Agents → your booking Agent → Settings → Meeting.

Choose the recipient first

These settings do not replace each other. A reminder sent to the lead does not automatically alert the host.

Add a meeting reminder for the lead

Open Meeting reminders

Open the booking Agent’s Meeting settings and find Meeting reminders.

Add a rule

Select Add reminder and choose the channel and timing.

Choose the channel content

For WhatsApp, select an approved reminder template. For Voice Call or SMS, use the available automated reminder configuration.

Save and review

Save the rule and confirm that it appears in the correct timing group.
The dashboard offers these timings:
  • Immediately after the meeting is booked
  • 24 hours before the meeting
  • 1 hour before the meeting
  • 30 minutes before the meeting
  • 5 minutes before the meeting
  • After the phone call ends, for a Voice Call reminder only
After the phone call ends refers to the Agent phone call that led to the booking. It does not mean after the scheduled meeting ends.
Nexor prevents an identical rule with the same trigger, channel, time reference, and minute offset. Edit the existing rule instead of creating that duplicate.

Select a lead channel

WhatsApp

WhatsApp reminders require an approved template classified for meeting reminders. If no template appears, create or approve a reminder template before returning to this setting. See WhatsApp message templates.

Voice Call

Voice Call is available when the Agent has a usable phone channel. It can remind the lead before the meeting or immediately after the preceding Agent call is analyzed.

SMS

SMS appears only for eligible accounts, currently accounts in the United States or Canada or accounts with an explicit enablement. It also requires a usable SMS channel. Email is not available as a lead reminder in the current dashboard, even though other Nexor notification flows may use email.

Alert the host after booking

Turn on Host notifications to email the selected host when a lead books. This is a global account setting and applies to all Agents, even though the control appears inside an Agent’s Meeting settings. Under Send, choose:
  • Immediately
  • 5 minutes after booking
  • 15 minutes after booking
  • 30 minutes after booking
  • 60 minutes after booking
Immediately is queued, not instantaneous. The current delivery service waits at least about two minutes before sending the host email.
Booking-time host alerts require the Agent’s Meeting alerts notification subagent to be active. Host cancellation email is on by default and bypasses that subagent gate. Host reschedule email is sent by the reschedule flow. The booking-alert switch and delay do not control those two messages.

Test the full path

Before using reminders with live leads:
  1. Create a test meeting far enough in the future for the selected offsets.
  2. Confirm that the meeting has a lead, a host, and a valid start time.
  3. Confirm the WhatsApp template is approved or that the Voice Call or SMS channel is usable.
  4. Check that Meeting alerts is active when testing host booking notifications.
  5. Wait for the configured offset and verify the result on the lead and host sides.
Changing a meeting’s time through the Reschedule action schedules the corresponding meeting flow again. Cancelling through Cancel meeting runs the cancellation flow. A table status change alone does not replace either action. See Manage meetings.

Troubleshooting

Confirm that the Agent has WhatsApp connected and that an approved meeting-reminder template exists.
Confirm that the corresponding phone channel is usable. SMS also follows account-country eligibility or explicit enablement.
Check Host notifications, the assigned host’s email, the selected delay, and the Agent’s Meeting alerts status. Allow at least about two minutes for the Immediately option.
The post-call option is anchored to the Agent phone call analysis, not to the end of the scheduled meeting. Use a before-meeting option when the reminder should be relative to the appointment time.
