Connect an email sender before an Agent starts or replies to conversations by email. The sender must show Ready to send before it can be assigned to an Agent.
If Integrations or Agent Settings is not available for your role, ask an administrator of your Nexor account to complete the setup.

Connect a sender

Open Email integrations

Open Integrations → Email and choose Connect a mailbox.

Enter the sender

Enter the display Name and Email that recipients should see, then continue.

Confirm the address

When Nexor shows Check your inbox, open the verification message sent to that address and follow its link.

Check the status

Return to Nexor and use Verify. If the attempt failed or the link needs to be sent again, use Retry. Continue only when the sender shows Ready to send.
Verifying the address can make that sender ready while authentication for its domain continues in the background. Always use the status shown in Nexor as the readiness check.

Authenticate a custom domain

Domain authentication helps inbox providers recognize authorized mail from a company domain. Once Nexor confirms the domain, other addresses on that domain can become eligible without repeating address verification. Each address must still show Ready to send before it is assigned.

Open the domain setup

From the sender row, choose Authenticate domain or Generate DNS when that action is available.

Choose a setup path

If Nexor offers an assisted setup button named for the DNS provider, follow that flow. Otherwise, copy the records into the DNS panel for the domain. You can also use Download records when a zone file is more convenient.

Copy every record exactly

Keep each record type, name, value, and priority exactly as Nexor shows them. Add the records where the domain’s nameservers are managed, which may differ from the company where the domain was purchased.

Wait for confirmation

DNS changes need time to propagate. Return to the Email integration and use Verify or Retry when Nexor offers it. The domain is complete when its status is Authenticated and any required reply records are also ready.
Public mailbox domains such as Gmail, Outlook, or Yahoo cannot be authenticated as a company-owned domain through this flow. Verify the individual address instead.

Assign the sender to an Agent

Open the Agent

Open the Agent and go to Settings → Channels.

Open Email

Select the Email row, then choose a sender marked Ready to send.

Save and test

Save the Agent settings and send a test before starting a real cadence.
The Agent sends new email from the selected address. Incoming replies stay in the email thread, and the Agent replies from its configured sender.

Set the email style and signature

Use the Email style controls to choose:
  • Tone: formal, semi-formal, or friendly.
  • Format: plain text or light formatting.
  • Length: short, medium, or rich.
  • Sign-off and whether to address the lead by first name.
Under Custom signature, paste an existing signature or create one with text, links, and public image URLs. Nexor appends it to each conversational Agent email and replaces the normal text sign-off.
Send a test after adding a signature. Confirm that its links and public images load outside the company network and that it works on mobile.

Choose who writes the first email

The Use initial email switch controls the first outbound email for each new lead in this Agent.
  • When enabled, enter both Subject and Body. Nexor sends that configured content and replaces supported lead variables such as {{first_name}} with the lead’s data.
  • When disabled, the Agent writes the first email from its instructions and context.
  • If either subject or body is missing, Nexor keeps using the Agent-written first email.
This setting applies to the first outbound email. Replies continue to use the conversation context.

Understand the two email languages

Email uses two separate language rules:
  • Conversational emails written by the Agent follow the Agent’s configured language.
  • Transactional booking and subscription emails resolve English or Spanish at the workspace level from account information such as language, country, and timezone. They do not inherit the Agent’s language.
Changing the Agent language therefore changes its conversations, but does not by itself change booking or subscription email language.

Troubleshooting

The sender is not available in Agent Settings

Return to Integrations → Email. The address must show Ready to send before it appears as an assignable sender. Complete its verification or retry the status check.

The verification message did not arrive

Confirm the address, check the spam folder, then use Retry to request another verification attempt.

DNS stays pending

Compare every record in Nexor with the active DNS zone. Check the record type, name, value, and priority. Do not add the company domain twice to a record name if the DNS provider already appends it.

Sending works, but replies are not routed correctly

Open the domain in Integrations → Email and review the reply records shown there. Sending authentication and reply routing use separate DNS records, so one can be ready while the other still needs attention.
