# Assign leads only to Active team members (Active / Away)

> Optional stage setting that assigns leads and escalations only to team members marked Active. New members start Away, people go Away automatically after an idle time (50 minutes by default), and owners and admins see who is Active and which leads are waiting on the Team availability screen.

An optional setting that gives a stage's leads only to the people who are working right now.

## The short answer

| Question | Answer |
| - | - |
| What does it do? | A stage that assigns leads (or escalations) skips team members set to **Away**. Only **Active** members are in the rotation. |
| Where do I turn it on? | Open the stage → **Assign an owner on entry** (or **Executives who respond** on the escalation stage) → **Advanced** → **Only assign to agents who are Active**. Or ask Nexor AI. |
| Does it apply to every stage? | No. It is per stage. Turn it on in each stage that should use it. |
| Where does a team member go Active or Away? | In the left sidebar, above their name: the **Active** switch. Off means **Away**. |
| Do new members start Active? | No. New members start **Away**. They get no leads from these stages until they turn Active. |
| Can I go Away automatically? | Yes. After the idle time without using the app you go Away on your own. It is 50 minutes by default. Owners and admins can change it from 10 to 480 minutes on the **Team availability** screen, with Nexor AI, or from the MCP. |
| Does Nexor ever set me Active? | No. Only you can turn yourself Active. |
| What if everyone is Away? | The lead enters the stage unassigned and waits. When people turn Active, waiting leads are handed out automatically, a few at a time, oldest first. To assign one now, open it from **Waiting leads**. |
| Does a lead that already has an owner change? | No. It keeps its owner, also when it escalates. |
| Does going Away reassign my open leads? | No. Only new assignments skip you. This is the same when you go Away automatically or an admin sets you Away. |
| Can an admin set someone else Away? | Yes, Away only, from the **Team availability** screen, Nexor AI, or the MCP. Nobody can set someone else Active. |
| Where do I see who is Active? | Owners and admins: **Team availability** in the left sidebar. Or ask Nexor AI. |
| Who sees the switch? | Every team member, but only once a stage of the workspace uses this setting. In other workspaces it does not show. |

## Turning it on

![Stage settings with Advanced open and the Only assign to agents who are Active switch](https://mintcdn.com/nexor/l2bjCaRSiy7ROFKz/images/assign-only-active-agents-stage.png?fit=max\&auto=format\&n=l2bjCaRSiy7ROFKz\&q=85\&s=6194caaf7787482adfce1c53e7c42511)

1. Open the agent, then the stage in **Stages**.
2. Turn on **Assign an owner on entry** (on the escalation stage: **Executives who respond**).
3. Open **Advanced** and turn on **Only assign to agents who are Active**.
4. The first time in a workspace, a confirmation explains that the whole team gets an Active / Away switch. Choose **Turn on**, then **Save**.
5. On a live task the change is saved in the draft. **Publish** to apply it.

## The Active / Away switch

![Left sidebar with the Active switch above the account](https://mintcdn.com/nexor/l2bjCaRSiy7ROFKz/images/assign-only-active-agents-sidebar.png?fit=max\&auto=format\&n=l2bjCaRSiy7ROFKz\&q=85\&s=7af8782470ed1602f3440986e2038f54)

* New members start **Away**. Members who were already in the workspace keep their status.
* Turning the switch on sets you **Active**: stages with this setting can give you leads. Off sets you **Away**: they skip you.
* The first time you see the switch, a window called **How you get leads** explains it: "Turn on Active to receive new leads. While you are Away, none are assigned to you." Choose **Turn on Active** or **Got it**. It does not show again.
* If you went Away automatically, a line under the switch says so: "You were set to Away after 50 min without activity."
* Your status is per workspace. Being Away in one workspace does not change another.

## Automatic Away

* While you use Nexor, the app tells Nexor you are still there. Using it means the Nexor tab is visible on your screen and you clicked, typed, touched, or scrolled in the last 2 minutes.
* After the idle time without that (50 minutes by default), you go **Away**. Nexor checks every 5 minutes, so it can take up to 5 minutes more.
* A tab left open with nobody at the desk does not count as using the app.
* On a long phone call without touching Nexor, you can go Away. That is why the default is 50 minutes. Owners and admins can set anything from 10 to 480 minutes for the workspace.
* When this first turns on in a workspace, the idle time counts from that moment. Nobody working at that moment goes Away right away.
* Automatic Away never sets anyone Active and never moves leads you already own.

## Team availability screen

![Team availability screen with the Team tab, each member's status, since when, leads and last use of the app](https://mintcdn.com/nexor/au5IttjkWZnNga9p/images/team-availability-screen-en.png?fit=max\&auto=format\&n=au5IttjkWZnNga9p\&q=85\&s=24533a21b8f4476a4ea3e6f6bdabcf72)

Owners and admins find **Team availability** in the left sidebar once a stage of the workspace uses this setting. Human agents do not see it.

The **Team** tab shows each member:

| Column | What it shows |
| - | - |
| **Status** | Active or Away. |
| **Since** | When it changed and why: **by themselves**, **automatic, no activity**, **automatic, never used the app**, or **by an admin**. |
| **Leads** | Open leads assigned to them, and leads assigned to them today. |
| **Last used the app** | The last time they used Nexor, for example "2 min ago" or "Never". |

* **Set Away** shows on Active members. It asks to confirm, then sets them Away. There is no **Set Active**.
* The line at the top shows the idle time: "People go Away on their own after 50 min without using the app." Choose **Change** to set it between 10 and 480 minutes, then **Save**.
* The screen refreshes every 60 seconds and when you come back to the tab.

![Waiting leads tab with each lead, its stage, its agent and since when it waits](https://mintcdn.com/nexor/au5IttjkWZnNga9p/images/team-availability-waiting-leads-en.png?fit=max\&auto=format\&n=au5IttjkWZnNga9p\&q=85\&s=fc6b55ad4dfab9677e90d69064f57248)

The **Waiting leads** tab lists leads that arrived when nobody was Active, oldest first, with their stage, agent, and since when they wait. **Open** takes you to the lead in Inbox, where **Assigned to** assigns it now.

## How the rotation works

* The stage keeps its mode (taking turns or least busy) among the Active members of its list.
* When the last person who got a lead goes Away, the next lead goes to the next Active person in the list, not back to the first.
* With nobody Active, new leads wait unassigned. When people turn Active, Nexor hands waiting leads out every 5 minutes: in each stage, at most one per Active person, oldest first, with the stage's usual rotation. The first person back does not get the whole pile at once.

## Ask Nexor AI

Owners and admins can ask Nexor AI about availability. Before it changes anything, it says what will change and asks you to confirm. For example:

* "Who is Active right now?"
* "Which leads are waiting for a person?"
* "Why didn't Ana get this lead?"
* "Which stages only give leads to Active people?"
* "Only give leads to Active people in all my agents."
* "Set Ana Away." (Away only. Nexor AI cannot set someone Active.)
* "Change the idle time to 30 minutes."
* "How does Away work?"

## From the MCP

Owners and admins can read and change availability from the [Nexor MCP](/docs/en/api/mcp-server/tools.md). The tools return the same lists as the screen.

| Tool | Scope | What it does |
| - | - | - |
| `get_team_availability` | `people:read` | Who is Active or Away, since when and why, waiting leads, stages that assign leads, and the idle time. |
| `set_member_away` | `workflows:write` | Sets one member Away. Away only. |
| `set_availability_idle_time` | `workflows:write` | Changes the idle time, from 10 to 480 minutes. |
| `update_workflow_status` | `workflows:write` | Turns the setting on or off for one stage. |

The public API has the same operations: [Get team availability](/docs/en/api/team/get-team-availability.md), [Change the idle time](/docs/en/api/team/patch-team-availability-settings.md), and [Set a team member Away](/docs/en/api/team/put-team-availability-by-user-id.md).
