# Members, roles, and access

> Invite teammates, choose the right role, assign appointment Agents, manage availability, and understand what Members can access.

Owners and Admins manage workspace access from [**Settings → General → Members**](https://app.getnexor.ai/settings/general). The list shows accepted members first, followed by an **Invitations** section for pending and expired invitations.

  In this guide, a **Member** is a person who works assigned leads and meetings. An **Agent** is the AI configuration that contacts leads. These are separate concepts.

## Workspace name

This guide uses **workspace** for the shared Nexor account your team joins. You can see its current name in the account menu in the sidebar. The current **Settings → General** page does not expose a self-service field for that name, so an Owner or Admin cannot rename the workspace from the dashboard. To request a change, contact your Nexor account team.

## What the Members list shows

Each accepted member row shows the person's name, email, role, and appointment Agent assignments when available. Invitation rows show the invited email, selected role, expiration state, and invitation actions.

The first ten members and invitations are shown together. Use **Show all** to expand the list and **Show less** to collapse it again.

  The current page does not include member search or a separate Invitations tab. Invitations appear below the accepted members in the same list. It also does not show Joined or Last Active columns.

## Choose a role

The invitation dialog offers three roles:

| Role       | Use it for                                                                                         |
| ---------- | -------------------------------------------------------------------------------------------------- |
| **Owner**  | Workspace administration that includes managing other Owners.                                      |
| **Admin**  | Day-to-day administration, but cannot invite, promote, or remove an Owner, or rename any teammate. |
| **Member** | Working assigned leads and meetings through a limited navigation experience.                       |

Owner and Admin are not interchangeable. Their team-management permissions differ:

<Warning>
  The Edit member dialog can show an editable name or Owner role to an Admin, but saving those changes is rejected. Ask an Owner to rename another person, invite or promote an Owner, or remove an Owner.

## Invite a teammate

  <Step title="Open the invitation dialog">
    In **Settings → General → Members**, select **Add member**. Enter the person's email address and choose Owner, Admin, or Member. Only an Owner can invite another Owner.
  </Step>

  <Step title="Choose appointment Agents when needed">
    If the workspace has eligible appointment Agents, the dialog shows **Should this user take meetings?** Turn it on and select at least one Agent, or choose **All agents**. This assignment controls which Agents the person can take meetings for; it does not change the person's workspace role.
  </Step>

  <Step title="Send the invitation">
    Select **Send Invite**. Nexor creates an invitation that expires in seven days and always attempts to send it by email.

  <Step title="Copy the link after sending">
    The confirmation displays a copyable invitation link after the invitation is created. Copy it if the teammate needs the link through another secure channel. There is no Create Link option before sending.
  </Step>
</Steps>

If email delivery fails, the invitation remains active and the confirmation still provides its link. The selected appointment Agents remain pending until the teammate accepts. On acceptance, Nexor activates those meeting-host assignments.

An appointment Agent is eligible for this selector when it books appointments and has one meeting type. If no eligible Agent exists, the meeting assignment control does not appear.

## Resend or cancel an invitation

Open the menu on an invitation row:

* **Resend** sends the invitation email again and returns the link in the confirmation. It preserves the selected appointment Agents. If the invitation expired without being used, resending renews it for seven days.
* **Cancel** asks for confirmation and invalidates the invitation. The old link can no longer be accepted.

Use Resend for an expired or missed email. Use Cancel when the person should no longer join the workspace.

## Edit or remove an accepted member

When appointment Agents are available, their assignment control appears directly in the accepted member row. Open the row menu for the other available actions:

| **Edit member**              | Changes the role, name, or external ID allowed by the operator's role. The email address is read-only.                                                                                       |
| Appointment Agent assignment | Adds or removes the person as a meeting host for eligible appointment Agents. This control is in the row, outside the action menu, and does not remove assignments to other kinds of Agents. |
| **Availability**             | Opens the Member's timezone, weekly hours, and time-off settings. This action appears on Member rows.                                                                                        |
| **Copy Nexor ID**            | Copies the person's Nexor identifier for integrations or support.                                                                                                                            |
| **Remove Member**            | Removes the person's active membership from this workspace.                                                                                                                                  |

Removing a person also removes that workspace's appointment Agent assignments, availability schedule, and calendar connection. It does not delete the person's global Nexor account or the workspace's lead records.

<Warning>
  A person cannot remove themselves. An Admin cannot remove an Owner. Ask another Owner when one of those changes is required.

## Availability and calendar connection

From **Members**, an Owner or Admin can open **Availability** on a Member row and edit:

* Time zone
* Weekly working hours
* Time-off blocks

The Availability dialog opened from Members does not show calendar connection status. Each person connects or reauthorizes their own Google or Outlook calendar from **Meetings**, where they see either **Connect your calendar** or **My availability**. The current screen does not expose self-service disconnection, so contact Nexor Support to remove a provider or switch between Google and Outlook.

A personal calendar connection can apply across that person's Nexor accounts. When requesting removal, identify which workspaces should be affected because the available removal paths do not have one universal account scope. Removing a Member from this workspace deletes only this workspace's connection row.   Some labels in the current Availability dialog can appear in English even when the workspace language is Spanish. This does not change the saved time zone, hours, or time off.

## What a Member can access

A Member starts in Inbox and uses a smaller route set than an Owner or Admin:

| **My Calendar** | `/meetings`           | The Member's own meeting view. Its navigation item appears only when the workspace has a booking Agent.                           |
| **My Leads**    | `/my-leads`           | Leads assigned to that Member.                                                                                                    |
| Agent Pipeline  | `/agents/:workflowId` | Pipeline access only for an Agent represented among the Member's assigned leads. Agent settings and Playground are not available. |
| Lead detail     | `/leads/:id`          | Available when the lead is assigned to the Member or is unassigned. A lead assigned to someone else redirects to My Leads.        |

Members do not receive the general Brain, Learning, Integrations, Developers, or Settings navigation. Most other routes outside the Member experience return them to Inbox.

If **My Leads** is empty, clear the search and stage filter, then change **Last 30 days** to **All time**. If it is still empty, ask an Owner or Admin to check the lead assignments. Giving someone the Member role does not assign existing leads to that person.

## Accept an invitation

The invitation link opens a public acceptance page and must be used with the invited email address.

    The page shows the workspace, inviter, and assigned role. A new or renewed invitation is valid for seven days.

  <Step title="Use the matching password flow">
    If an account already exists for the invited email, sign in with that email and password, then join the team. If the email is new, enter a full name, phone number, password of at least eight characters, and password confirmation. The invitation email cannot be changed.
  </Step>

  <Step title="Join the workspace">
    After acceptance, Nexor creates or reactivates the membership. Any appointment Agent selections from the invitation become active at this point.
  </Step>
</Steps>

The acceptance page has dedicated messages for expired, already accepted, cancelled, invalid, and email-mismatch links. Ask an Owner or Admin to resend the invitation when the link expired. The page uses password sign-in or password account creation; it does not offer a visible Google acceptance option.
